Our well established client is seeking Client Management Office - Associate in Toronto area.

Job Requirements: 

As a Client Management Office - Associate, you will undertake tasks including:

  • External communication – communicate directly with our clients’ employees that are on an international assignment to gather and provide information. 
  • Communication may be both written and verbal.
  • Internal communication – liaise with client's internal offices, including client lead office(s), on basic client matters.
  • Engagement set up – prepare initial draft of engagement letters and other contractual documents.
  • Financial management – prepare initial draft of invoices.
  • Account receivables management – basic review and understanding of weekly reports and identify late remittances.
  • Maintain client records in various databases. Includes tracking and saving of correspondence received from the tax authorities.
  • Central mailbox management – includes delegation of tasks and action. Responding to non-tax technical queries from clients where appropriate.
  • Reporting – create ad hoc reports, including monitoring and tracking Service Level Agreements (SLAs)
  • Assignment initiations and tax briefings – coordinating local and global network in respect of tax briefing initiations. Includes updating of tools and trackers.
  • Annual tax compliance – assist with generating and initial review of tax return assistance authorization lists. Includes final deployment of tax data organizer questionnaires to authorized individuals.
  • Annual tax compliance – using our proprietary technology, work in a team to assist in the management of the workflow of tasks related to tax return preparation and/or payroll, for our clients’ employees on international assignment. Includes liaise with engagement teams in the event of missing/incomplete information to finalize the delivery of tax returns.
  • Annual tax compliance – upon finalization of the tax returns by the tax technical team members, complete Quality Control of all files using protocols and systems in place. Delivery of final tax returns.
  • Assistance with ad hoc administrative support for the tax return compliance process as required.

Requirements:

  • Excellent communication skills, both written and verbal
  • College Diploma or Diploma in Office Systems Technology or equivalent
  • Advanced skills in Microsoft Office: Word, Excel, PowerPoint
  • Good knowledge of Adobe Acrobat, Outlook
  • Ability to build excellent interpersonal relationships and proven ability to work in a team effectively
  • Excellent time management skills and demonstrate ability to prioritize tasks based on relative importance and urgency
  • Strong analytical skills and attention to detail
  • Discreet, available, autonomous and self-starter
  • Prior experience as an administrative assistant is an asset
  • Prior experience of working within a tax practice environment is an asset
